III. Transfer Policy
F. Course Applicability System
To directly support the student advising function all state-assisted institutions shall meet and maintain full compliance the following standards of the course applicability system:
- Provide definitions of all degree programs and certificates through the course applicability system in the form of a degree audit. Each prospective student in Ohio will be able to view specific requirements for all degree programs and certificates regardless of transfer equivalency rules and articulation agreements.
- Provide course equivalencies for any Ohio public, post-secondary institution from which twenty-five or more transfer students are enrolled each year. The number of transfer students will be tracked in HEI and will be reviewed annually. Course equivalents will include:
- Courses equating to courses that apply to Transfer Modules and Transfer Assurance Guides
- Courses equating to courses that apply to the general education program
- Other commonly transferred courses for degree programs with high numbers of transfer students
- Perform maintenance on all course applicability system links/urls, course bank entries, equivalencies and degree programs prior to the start of the academic year for data related to the academic year. The updates must reflect changes in degree program requirements and equivalencies based on course changes. This requires submission of Preliminary Course Inventory (PCI) files to HEI as prescribed.
- Develop and administer a course applicability system training program for advisors, counselors, outreach staff, appropriate faculty members and admissions personnel. Each person must know how to locate, operate, and provide instruction for the course applicability system. The training must be documented and offered to all new employees serving in those positions.
