Summary Edits

Note: The summary edits are performed only after the primary edits have yielded zero errors for all records in a file submission. The scope of the summary edit statistics consists of the net effect of this CS file and those already loaded on the database for this institution and year. When summing statistics, use the "net course section schedule." That is, include inserts in the calculation and exclude deletes.

Total Number of Rows on Database after Load:

Sum the number of CS submission file inserts with the number of CS records already loaded to the database for this year from previous CS file submissions; subtract the number of submission file deletes.

Number of Rows on the Database before Load:

Sum the number of CS records already loaded to the database from previous CS submissions for this institution and year.

Number of Rows Added by this Submission:

Sum the number of inserts in this submission.

Number of Rows Deleted by this Submission:

Sum the number of deletes in this submission.

Note: Print Table at beginning of summary edit report if a warning occurs in the following edit. If there are no warnings do not print table.

A. IF in the area inventory table (For every instance of Campus field, Course Identifier field, and Course Section Identifier field combination that meet on the same day(s) and time(s) in this submission file, identify the header year, Structure Identifier field, Addition Identifier field, and Area Identifier field) the area type code for all records (of the Header Year, Autumn Term, Structure Identifier field, Addition Identifier field, and Area Identifier field combination) is 110 or 210, then sum (Note that usually there will only be one record but there could be more than one and then you need to sum. If the same course meets in two or more different rooms and if they ever meet at a different time based on start time then do not sum the capacity of the rooms. Next, sum all rows in the course enrollment table with the Campus field, Course Identifier Field, and Course Section field that meet (for all courses that meet in the same room at same time. Ie., if more than one course meet at the same time in one room) for Autumn Term and header year to obtain "total number of registrants".

If the the total number of registrants is equal to or greater than the sum of area capacity number 180% then issue warning

Description of Table Variables:

Campus Code:

This is a four-character campus code associated with each campus of an institution for which data exists.

Available Classrooms: XXXXXX (top left corner):

Sum the number of rows in the Area Inventory table for each Campus and this year where the Area Type code is 110 and the Function code is not 30, 70, 81, 82. (Each area meeting these conditions is an Available Classroom.) Print total. These Available Classrooms will be used in calculations below.

Matrix for # Rooms in Use by Day and Half-hour:

For each Available Classroom, if, in the Course Section Schedule table for this year or in the submission file, the room is scheduled for 15 or more minutes within each half-hour period count that available classroom as in use. Count each room-minute combination only once. Consider the following examples:

  1. Two classes meet at different times in the half-hour period 0800-0830 in Room 101. Class A meets from 0800 until 0810, and Class B meets from 0820 until 0825. Room 101 is in use for 15 minutes in the 0800-0830 half-hour period, and therefore counts as in use for the entire half-hour period.
  2. Class C meets from 0800 until 0814 in Room 102. No other class meets in Room 102 during the 0800-0830 half-hour period. Room 102 is not in use from 0800-0830.
  3. Two classes meet at the same time in Room 103. Both classes meet from 0800 until 0820. Room 103 counts as in use one time from 0800 until 0830. Conversely, if both classes meet from 0800 until 0810, the room does not count as in use (since it is in use under 15 minutes).
  4. Class A and Class B overlap during a half-hour period in Room 104. Class A meets from 0800 until 0810 and Class B meets from 0805 until 0815. Count begins at the beginning of Class A at 0800 and ends and the end of Class B at 0815. Count equals 15, therefore, the room is in use.
Sum the total Available Classrooms in use. Print result in # Rooms in Use column.

Matrix for % Rooms in Use by Day and Half-hour:

Value for each combination of day of week and half-hour reflects the percentage of Available Classrooms in use to Available Classrooms.

Laboratory Utilization by Half-hour Increments for Each Day

Scheduled Use Statistics: For each campus having available classrooms or laboratories in the area inventory table, calculate Scheduled Use Statistics using the procedure below.

Percent Daytime Weekday Use--Classroom:

  1. Sum the half-hour increments that available rooms are in use between 0800 and 1559 Monday, Tuesday, Wednesday, Thursday, and Friday using the statistics from table two and the following rules:
  1. Sum half-hours to determine Total Hours Classroom Use.
  2. Identify the total hours available by multiplying the total number of Available Classrooms by 40 hours to determine Total Hours Classrooms Available.
  3. Divide: Totals Hours Classroom Use/Total Hours Classrooms Available.
  4. Multiply by 100; print percentage.
Percent Daytime Weekday Use--Classroom Stations*:
  1. In the Area Inventory table, sum the capacities for each Available Classroom. Multiply this sum by 40 hours to obtain Available Classroom Capacity.
  2. In the Course Enrollment table, sum the registrants (unique combinations of OBRID, Campus, Course Identifier, Course Section Identifier, this year and term) for all course sections that occur in the areas identified (Campus, Physical Structure Identifier, Addition Identifier, Area Identifier) in the submission file or in the Course Section Schedule table for those areas that meet in a half hour during which the room was in use between 0800 and 1559 Monday, Tuesday, Wednesday, Thursday, and Friday for this year. Multiply the total registrants by each hour that they are in the room between 0800 and 1559 to obtain Classroom Seat Fill. For example, if Greek 101 is the only class that meets between 0800 and 1559 during the week. And, Greek 101 has 9 registrants meeting in Sophia Hall, Room 202 on Monday, Wednesday, and Friday from 1:00 p.m. - 2:00 p.m. The Classroom Seat Fill equals 27
  3. Divide Classroom Seat Fill/Available Classroom Capacity.

Total Credit Class-time Utilization Statistics: For each campus having available classrooms or laboratories in the area inventory table, calculate Total Credit Class-time Utilization Statistics using the procedure below.

Percent Daytime Weekday Use--Classroom:

For each Available Classroom sum the half-hour increments that a room is in use between 0800 and 1559 Monday, Tuesday, Wednesday, Thursday, and Friday that have already been loaded for this year to the Course Section table and those in the submission file using the following rules:

  1. Identify each Campus, Structure Identifier, Addition Identifier, Area Identifier, this Year. Count each area-minute combination ONLY ONCE (even if multiple courses are identified with the area) for each minute.
  2. If the class begins between 0800 and 1559 and ends after 1559 count only until 1559.
  3. If the class ends between 0800 and 1559 and begins before 0800 begin count at 0800.
  4. If a class is scheduled for 15 or more minutes within any half-hour period, count that half-hour as in use.
  5. Sum those half-hours to determine Total Hours Classroom Use.
  6. Sum all Irregular Daytime Hours for courses occurring in available classrooms for this Campus and year as indicated by records in the Course Section Schedule table and in the submission file to obtain Total Irregular Daytime Hours.
  7. In the Course Enrollment table, sum the registrants (unique combinations of OBRID, Campus, Course Identifier, Course Section Identifier, this year and term) for all course sections that occur in the areas identified (Campus, Physical Structure Identifier, Addition Identifier, Area Identifier) in the submission file or in the Course Section Schedule table for those areas that meet in a half hour during which the room was in use between 0800 and 1559 Monday, Tuesday, Wednesday, Thursday, and Friday for this year. Multiply the total registrants by each hour that they are in the room between 0800 and 1559 to obtain Scheduled Classroom Seat Fill. For example, if Greek 101 is the only class that meets between 0800 and 1559 during the week. And, Greek 101 has 9 registrants meeting in Sophia Hall, Room 202 on Monday, Wednesday, and Friday from 1:00 p.m. - 2:00 p.m. The Scheduled Classroom Seat Fill equals 27.

Percent Daytime Weekday Use--Laboratory:

For each Available Laboratory, sum the half-hour increments that a room is in use between 0800 and 1559 Monday, Tuesday, Wednesday, Thursday, and Friday that have already been loaded for this year to the Course Section table and those in the submission file using the following rules:

  1. Identify each Campus, Structure Identifier, Addition Identifier, Area Identifier, this Year. Count each area-minute combination ONLY ONCE (even if multiple courses are identified with the area) for each minute.
  2. If the class begins between 0800 and 1559 and ends after 1559 count only until 1559.
  3. If the class ends between 0800 and 1559 and begins before 0800 begin count at 0800.
  4. If a class is scheduled for 15 or more minutes within any half-hour period, count that half-hour as in use.
  5. Sum those half-hours to determine Total Hours Laboratory Use.
  6. Sum all Irregular Daytime Hours for courses occurring in available laboratories for this Campus and year as indicated by records in the Course Section Schedule table and in the submission file to obtain Total Irregular Daytime Hours.
  7. If in the Academic Calendar table, the Academic Term code for this institution, year and Autumn term is S, divide the Total Irregular Daytime Hours by 15 to obtain Weekly Irregular Daytime Hours. If in the Academic Calendar table, the Academic Term code for this institution, year and Autumn term is Q, divide the Total Irregular Daytime Hours by 10 to obtain the Weekly Irregular Daytime Hours.

Matrix for Area Type and Number of Classes:

For each Campus, Structure Identifier, Addition Identifier, Area Identifier, in this submission (as an insert) or which has already been loaded to the Course Section Schedule Table for this year, identify the Area Type code in the Area Inventory table. For each area type, sum the Course Identifier and Course Section Identifiers that meets the following conditions:

*Notes on ALL classroom and laboratory station calculations:
  1. If capacity is 0000 in the area inventory table for a classroom (area type 110) or a laboratory (area type 210), you will need to assign a capacity for the room. For classrooms (area type 110) divide the NSF for the area by 15 to derive capacity. For laboratories (area type 210), divide the NSF by 40 hours to derive capacity.
  2. In all station utilization calculations, the registrants contribute to the numerator while capacity is the denominator. If total registrants is greater than capacity, use capacity for the numerator in place of registrants.
  3. Room should be considered in use for station utilization to be summed when calculating scheduled classroom/laboratory seat fill.
  4. In calculating station utilization (during step 2), if two courses overlap during a half-hour segment then registrants should be added before multiplying by the appropriate hours. If two course sections do NOT overlap, registrants should be averaged before multiplying.
5) When calculating scheduled classroom/laboratory seat fill, if there are multiple records for a course section, because a course section meets in more than one area do the following: If the course section meets in more than one area at the same time, when it meets at the same time, the # of registrants for each of the multiple records will be obtained by dividing the number of registrants for the course section by the number of multiple records having the same course id, course section id, campus code, year number, and begin and end time, but different physical structure id, addition id OR area id. When the course section in the these multiple records meets at different times, the registrants will not be divided by the number of multiple records.
