RE: Training Session for HEI/TRIO File Submission and Tracking Query

DATE: September 29, 2003

HEI and OAEOPP are collaborating to produce a file submission and tracking interface that will greatly enhance the ability of Ohio TRIO programs to meet their federal reporting requirements as well as conduct research and analyses on their students. We invite you to participate in one of our regional training sessions for new users. During the course of a two hour session, we will demonstrate the file submission and tracking interface, discuss any issues that arise, and assign user names and passwords for accessing the HEI restricted sites.

Kent, Ohio - Kent State University on October 17th, 2003 at 10:00 a.m. to 12:00 p.m.

Columbus, Ohio - Higher Education Information System Offices on October 24th, 2003 at 10:00 a.m. to 12:00 p.m

Cincinnati, Ohio - University of Cincinnati, Clermont College on October 31st, 2003 at 10:00 a.m. to 12:00 p.m.

Re: Reporting of High School Codes and Graduation Years for Educational Opportunity and Veterans Upward Bound Programs

HEI has completed modifications to the TRIO Tracking (TR) File submission that will allow Educational Opportunity Programs and Veterans Upward Bound Programs to submit default codes for the High School Code and Graduation Year fields (http://regents.ohio.gov/hei/datasubdoc/enrollment/production/trfile.html). If the High School Code field is unknown for a particular student, please enter “333333” within the appropriate field. If the Graduation Year is unknown for a student, enter “UNKN”.

The modification to the Graduation Year field will only be available to Educational Opportunity or Veterans Upward Bound programs due to the populations that they serve. If the data is available, however, HEI would strongly encourage these programs to submit accurate and complete data.
