I am writing to inform you that the collection period for the Student Entrance (PE) and Student Degree/Certificate Earned (PD) file submissions is from December 8, 2004 through March 4, 2005. The Higher Education Information System (HEI) of the Ohio Board of Regents (Regents) collects this data for students who have received financial aid from the state of Ohio. Because Regents has collected this data for the past two years we have the ability to describe the types of students receiving financial aid and the types of degrees and certificates these students are earning from private, proprietary and non-Ohio colleges and universities.
The Financial Aid Student Identifier query in the HEI restricted outputs area ( https://hei.regents.state.oh.us/cgi/aicuo_query_cgi ) will provide you with lists of student identifiers for students from your campus reported to have received state assistance from FY 2001 through FY 2004 (July 1 st of 2000 through June 30 th of 2004) in the form of Ohio Instructional Grant, Part-Time Student Instructional Grant, Ohio Academic Scholarship, Student Choice Grant, Workforce Development, Ohio Proficiency Award, and the Ohio War Orphans Scholarship. In the past, the query would allow users to select specific fiscal years, but we have now combined all fiscal years to return only unique identifiers that have not been reported by your institution.
Most institutions will find that the identifiers from the query correspond to FY 2004; however, several institutions still need to submit student data for FY 2001 through FY 2003 as well. Data for FY 2001, FY 2002 and FY 2003 should be submitted within the 2004 submission window of the Data Input Site, using a header record that includes "2004" in the Year field ( http://regents.ohio.gov/hei/datasubdoc/general/fileheader.html ).
The query provides two types of student identifier files to assist you in submitting the Student Entrance (PE) file located at http://regents.ohio.gov/hei/datasubdoc/finaid/pefile.html and the Degree/Certificate Earned (PD) file located at http://regents.ohio.gov/hei/datasubdoc/finaid/pdfile.html .
Institutions that have not delegated these reporting duties should do so through their financial aid contacts that may be referenced at http://regents.ohio.gov/hei/people.html . Financial aid contacts have access to the HEI Liaison Administrative pages which allows them to assign reporting responsibilities ( https://hei.regents.state.oh.us/cgi/HEInet.cgi?$sp_html_hei_login%20%271%27 ).
In addition to the data collected for students that have already received state aid, HEI is also collecting the PE file prospectively for students that will receive the Workforce Development Grant. Before a Workforce Development Grant Certification (WD) record may be submitted for a particular student as of 2004 and thereafter ( http://regents.ohio.gov/hei/datasubdoc/finaid/wdfile.html ), HEI must first receive a PE record for that student.
