The Course Applicability System (CAS) staff and the Higher Education Information System (HEI) staff collaborated to create a new course equivalency maintenance utility. This feature will allow CAS reporters to query the differences between courses from one year to the next and adjust articulation agreements as needed. After a successful testing period, we are now ready to collect live data. Beginning on June 1st and concluding on June 30th, HEI will collect Preliminary Course Inventory (PC) files for the 2002-2003 academic year and the 2003-2004 academic year. The data elements being collected may be reviewed at http://regents.ohio.gov/hei/datasubdoc/enrollment/production/pcfile.html, and the corresponding edit and load specifications may be found at http://regents.ohio.gov/hei/enrollment/pcedit.html. The academic year of the file being submitted will be taken from the header record. For this inaugural collection, each institution should submit two files with each file header record reflecting the appropriate academic year. In order to submit data to HEI, PC file data reporters must have authorization assigned by their campus HEI Liaison (https://hei.regents.state.oh.us/cgi/HEInet.cgi?$sp_html_hei_login%20%271%27). All data that is submitted within the PC file will be available in a public access query located at http://hei.regents.state.oh.us/cgi-pub/cas_query_cgi. To: HEI Liaisons Preliminary Course Inventory Data Reporters CC: Jason Elwood, Director, DARS Project Katrina Cohill , Manager, CAS Support and Training Melanie Hoffmann, CAS Support and Training Associate From: Jay Johnson, Director of HEI Enrollment Area Date: June 13, 2006 Re: Assessment of the Preliminary Course Inventory (PC) File Submission and the HEI/CAS Query Recently, CAS staff met with HEI staff to discuss the usefulness and efficacy of the Preliminary Course Inventory (PC) file submission and the HEI/CAS Query ( http://regents.ohio.gov/hei/datasubdoc/enrollment/production/pcfile.html and http://qry.regents.state.oh.us/cgi-pub/cas_query_cgi ). During the course of the meeting, it was determined that we should seek the input of institutional staff as to whether to continue the collection of PC data and the associated query. Neither the Ohio Board of Regents nor CAS has ever used this data for reports and we have reason to suspect that statewide usage of the query is low. Before deleting this file submission and its associated query, we would like to know if you use it or have plans to use it. Please respond to Owen Daniels, HEI Analyst, via odaniels@regents.state.oh.us with any reasons for retaining the collection and query. All responses should be sent by June 19, 2006 . The PC collection would normally conclude on June 30 th . HEI will notify all institutions of our decision via memo. The response was unanimously in favor of eliminating the PC file. Please discontinue submission of this file. HEI will deactivate the submission and the query effective immediately. |
