Dear Facilities Data Reporters:
I'm writing to provide clarification on the scope of the Other Use of Rooms (OR) file. As most of you know, this file is meant to provide a fuller picture of utilization for the instructional term. In the past, utilization statistics were presented based only on degree-credit activity. This year the OR file will be used in conjunction with the degree-credit data that is collected in the Course Section Schedule (CS) file.
Because the OR data is intended to build on the CS file, the scope of the OR file must be the same as the scope of the CS, that is, the data in the OR file, should only reflect that activity that occurs during the instructional portion of the academic term. Recently, I was asked a question about whether final exam activity should be included in the OR file. Please note that if that activity falls outside of the ten week quarter or fifteen week semester it should not be included in the OR file. The standard final exams that occur in the eleventh week of the quarter or in the sixteenth week of the semester should not be included. I have refined the OR file description in the data submissions document on the HEI Web site.
