Subject: Submitting OIG refund/non-pay files
Date: Mon, 05 Feb 2001 10:03:22 -0500
From: Tom Rudd <trudd@regents.state.oh.us>
The "window" for submitting 2000-2001 Ohio Instructional Grant refund/non-pay files to the Board of Regents via the web will open on Monday, February 12, 2001. Please do not attempt to submit refund/non-pay files prior to the 12th.
Please remember that while your institution is required to REPORT OIG
refunds, you should not refund this money back to the Board of Regents
in the first and second refund periods. We will capture these funds by
deducting the refund amounts from your winter and spring term OIG payments.
As in the past, you will have only one opportunity to successfully submit
OIG refund files for the first refund period (summer/fall refunds and winter
term non-pays). This means that the HEI database will accept only one refund/non-pay
file from your institution
in the current refund period. Please make sure that the file which
you submit to HEI includes all of your refund and non-pay records for this
refund period. Some schools submitted multiple OIG award certification
files containing only ten records each. Multiple fund/non-pay files will
not be accepted.
We appreciate your patience while HEI and SGS have worked to develop this web-based refund submittal function.
If you should have questions about submitting refund files via the web, please contact David Bastian at (614) 752-9489 or toll-free at 888-833-1133, extension 29489 or by e-mail at dbastian@regents.state.oh.us. Questions about OIG payments should be directed to Alice Doughty, OIG Payment Coordinator, at (614) 752-9477 or toll-free at 888-833-1133, extension 29477 or by e-mail at adoughty@regents.state.oh.us
Thank you.

In order for your school to submit OIG refund/non-pay data to the Board
of Regents, your school must have a designated HEI/SGS data reporter who
is authorized to access the "IR" (Instructional Grant Refund) files.
If
you have not already designated a data reporter with access to the
IR files, you should do so immediately. Step-by-step instructions
for creating or modifying HEI accounts can be seen at
http://regents.ohio.gov/hei/liaisons/stepbystep.htm.
Thank you.
