Planning,

In July of 2000 we announced a reorganization of the financial files affecting the FY 2000 submissions and the FY 2001 submissions (http://regents.ohio.gov/hei/datasubdoc/memos/genfinmemos.html).  Among the changes outlined for FY 2001 was the elimination of the Funding Unit Inventory (FI) file and the addition of a "college" field to the Funding Unit Expenditure (FX) file in order to tie Funding Units to the "colleges" reported in the College Expenditure (CP) file for those campuses that report a CP file. Campus officials indicated that the proposed reporting scheme was acceptable and starting Summer term 2000 we eliminated the Funding Unit Expenditure (FI) file.

Consistent with this scheme we have added a "College" field to the Funding Unit Expenditure (FX)
(http://regents.ohio.gov/hei/datasubdoc/financial/practice/fxfile.html) in order to link "Colleges" reported in the College Expenditure (CP) file to funding units in the Funding Unit Expenditure (FX) file for the upcoming financial data collection. Those campuses reporting a CP submission should report values in the College field in the FX consistent with values reported for Colleges in their CP submission. Those campuses not reporting a CP submission should report "NA" in the field. Campuses that submit a CP, but have funding units that are not part of any college should report "NA" in the College field for those funding units.

Recall that all funding units reported in the Course Sections Taught (ST) file throughout the fiscal year must be reported in the Funding Unit Expenditure (FX) file. To facilitate FX reporting, we will share with institutions a list of funding units by campus submitted in their ST submissions throughout the year prior to the opening of the financial window.

SUBJECT: Fund Unit Query Available for FX File Submission

Financial Data Reporters,

The edit window is now open for submission of HEI financial files. As you are aware, all funding units reported in the Course Sections Taught(ST) file throughout the fiscal year must be reported in the Funding Unit Expenditure (FX) file.

To facilitate FX reporting, we have created a query that data reporters can use to obtain an unduplicated list of funding units by campus submitted in the ST files throughout the year. Financial file data reporters can access this query within the Data Input Site from a link on the left side of the page.

If you have any questions about this query, please contact Michael Long via email or at (614) 644-6859.
