The window for four-year campuses to submit the Extended Baccalaureate Degree Programs (EP) and the Extended Baccalaureate Students (ES) files is now open and will close on June 1. These data are used in the determination of timely-degree completions that supports Success Challenge subsidy. As in the past, to aid campuses we will be propagating the EP information used last year into the current year and ask that campuses submit only changes to the EP. The specifications for this collection of the ES and EP can be found at http://regents.ohio.gov/hei/success/esfile.html and http://regents.ohio.gov/hei/success/epfile.html.

Please note that campus representatives to the Performance Report Subcommittee have indicated that the time to degree statistics in the Performance Report for associate degrees may be misstated because of associate degree programs that may take longer than 2 years to complete are not captured in HEI. In order to have these data for the next iteration of the
Performance Report fall 2001 they suggested that we allow these data to be collected in the EP and ES files. As a result, we plan to modify the EP and ES files shortly after the window closes June 1 for Success Challenge. We will distribute an updated EP and ES data submission document in the near future and provide campuses the opportunity to report information on extended 2 year programs in late summer for the Performance Report.

We have opened the window for the Extended Programs (EP) and Extended Students (ES) files so that campuses may submit information about associate degree programs that have requirements extending the time to degree beyond two years. During the discussions of the Performance Report Subcommittee campus representatives noted that the time to degree for Associate Degree programs may be misstated because of programs whose requirements extend the time to degree beyond two years. They suggested that we expand the data files used to collect information about extended baccalaureate programs to include associate degree programs. You may view the file specifications for the EP and ES files at http://regents.ohio.gov/hei/datasubdoc/enrollment/production/epfile.html and
http://regents.ohio.gov/hei/datasubdoc/enrollment/production/esfile.html (respectively). Please note that use of these files are only relevant for campuses with associate degree programs or subprograms that are widely and officially understood to take longer than two years for all students enrolled in the program. Note as well that the data in the ES and EP files should correspond to the Degree Certificate (DC) file submission from Autumn 2000.

Re: Addition of A5 Degree Level to Extended Baccalaureate Student (ES) File Submission

In light of the addition of “A5” and “A3” to the acceptable Level of Degree or Certificate Completed Codes within the Degree/Certificate (DC) file submission (http://regents.ohio.gov/hei/datasubdoc/enrollment/production/dcfile.html), HEI will now also accept “A5” or “A3” as acceptable values in the Extended Baccalaureate Student (ES) file submission. SUBJECT:    Extended Students and Extended Programs Reporting for Success Challenge

Every year, HEI collects data related to the Success Challenge initiative ( http://regents.ohio.gov/hei/success/successchallenge.html ).  The Success Challenge initiative has two primary components:

  1. Challenging university main campuses to enable resident at-risk students to successfully earn baccalaureate degrees, and
  2. Challenging university main campuses to enable resident baccalaureate seeking students to complete their degrees in a timely fashion, typically four years.

To adequately identify students and programs meeting these components, HEI collects the Extended Students (ES) and Extended Programs (EP) file submissions.  These files encompass programs or students that take more than or less than the typical four years to the completion of a baccalaureate degree ( http://regents.ohio.gov/hei/datasubdoc/enrollment/production/epfile.html or http://regents.ohio.gov/hei/datasubdoc/enrollment/production/esfile.html ).  The EP file is submitted once in total and then updated annually as necessary, while the ES is submitted for students in sub-programs or program tracks clearly understood to be compressed or extended.

To see what information has been rolled over in the EP file from the previous year (2004), please visit https://qry.regents.state.oh.us/cgi/submission_download_cgi , select "EP" and "2005". 2005 is the current year being used in the Success Challenge calculation. Any updates should be submitted in the 2005 Enrollment Annual window.

Collection of these records concludes on June 15 th , 2006 . If you do not intend to submit an ES or EP file, please contact us via odaniels@regents.state.oh.us . For instance, Kent State and Bowling Green have both opted to submit all of their extended students in the ES file and they will not be sending HEI an EP file.
