HEI Data Submissions
How Data Are Loaded onto the Database

1. A data reporter submits a file via the Data
Input Site.
2. When the file contains zero errors, the data reporter uses
the Request Load button on the Data Input Site to indicate that in his
or her judgment the file is complete and accurate and should actually be
loaded to the database. The data reporter bases this judgment on his or
her review of the primary and summary edits.
3. The system notifies an Regents data administrator that the load request
has been received.
4. The Regents data administrator reviews the primary and summary
edits to confirm that the data are complete and accurate.
5. If the Regents data administrator is not certain that the file
is complete and accurate, he or she contacts the data reporter to discuss
the data.
6. If the Regents data administrator agrees that the file should be
loaded to the database, he or she issues a system command for the file
to be loaded overnight that night. (Load requests submitted after 4:00
p.m. Monday through Friday, except state holidays, will be reviewed the
following weekday for loading the following weeknight.)
7. The system sends an e-mail message to the data reporter confirming
that the file was successfully loaded.
8. The HEI
File Dependency and Submission Status page is updated to show that
the file has been loaded.
