Edit and Load Specifications

Instructional Grant Refund/Nonpay (IR) File
March 5, 2001

Edit Rules for each Instructional Grant Refund/Nonpay (IR) Record

  1. Read the record
  2. If there are non-blank characters beyond 80 characters in the record.

    3.                 write Error 035 on edit report file.
  3. Check the acad_cal table for this institution for the reporting term specified in the header, and, if the current date is not at least 15 days later than the start date for the subsequent term specified in the table row (or if the table row is not present), then

    4.                 write Error 020 on edit report file.
  4. If Student Identifier contains any non-numeric character in any character position

    5.                 write Error 018 on edit report file.
  5. If there is already an Instructional Grant Refund/Nonpay record for the corresponding Student Identifier on this submission file

    6.                 write Error 017 on edit report file.
  6. If the first five characters of the Refund Amount are not numeric

    7.                write Error 034 on edit report file.
  7. If the first five characters of the Non-pay Amount are not numeric

    8.                write Error 034 on edit report file.
  8. If term from header record is SP or SM and Nonpay amount from record is not zeroes

    9.                write Error 039 on edit report file.
  9. Check instrl_grant table for match on stud_id, sgs_inst_code and yr_num (academic year). If no match found, check transfer table for match on student identifier, sgs institution code and academic year. If no match found in either table

    10.                write Error 041 on edit report file.

  10. If positions 25 through 79 inclusive do not contain blanks or if position 80 does not contain the character '6'

    11.                write Error 042 on edit report file.
  11. Check instructional grant refund/nonpay table for any records for this institution for this term and academic year as specified in the header. If match found

    12.                write Error 057 on edit report file.
  12. Check instructional grant refund/nonpay table for any records for this institution for any subsequent term in this academic year. If match found

    13.                write Error 057 on edit report file.
  13. If OIG Institution Code within record and Institution Code within header do not match a combination in a table row in the sgs_inst_campus table

    14.                write Error 044 on edit report file.
