This page provides examples for reporting data in the Faculty Data Area. The questions below are based on actual questions that have been posed by campus representatives to HEI staff.

Annualized Base Salary Questions (these examples work for the FD and AM files)

-       If an employee works 40 hrs/week, but only works 9 months of the year,
should the annualized salary then reflect the amount as if this person worked a full 12
months?  That is, do we need to add 3 months of salary onto this person's 9
month salary?

Answer:  No, do not add 3 months of salary. Report only the 9 month salary and be sure that the appointment
status field will identify the employee as 9/10 months or 11/12 months.

-       If a full-time employee works less than 40 hrs/week and less than a year, do we
need to bring this person's salary up to 40 hrs/week and for 12 months?

Answer:   First consider whether the employee is reported as Full Time 9/10 months or Full Time 11/12 months.
Compute the annualized salary as a person who works 40 hrs/week for the the time period denoted in the Full Time classification.

-       If a 9 month, full time faculty member has a part time summer assignment, which would not be considered an overload assignment, do we include annualize the part time assignment and add it to the 9 month salary?

Answer:  Ignore the part time assignment(s) and report the 9 month (or 10 month) annualized salary only.

-       I have an administrator with a part-time teaching assignment on top of his regular administrative assignment. How do I report his salary in the "Salary/Wages"  field and the "Annualized Base Salary" field in the FD file?
 

Answer: In the "Salary" field report his total salary for all assignments. In the "Annualized Base Salary" field report only the salary for his regular full-time assignment, do not report the part-time salary.
