Other Use of Instructional Rooms (OR) File

File Description

The Other Use of Instructional Rooms (OR) file reflects utilization for activity that is not part of scheduled degree-credit class time (as reported in the Course Section Schedule). A record should be reported for each activity type in any area identified as Area Type code 110 (Classroom) or 210 (Class Laboratory) in the Area Inventory. This file reflects activity for the entire fall term of odd numbered years.

Submission Schedule

The Other Use of Instructional Rooms (OR) file is submitted once every other year for odd numbered years.

Capture Date

The capture date is the 30th day after the last day of the fall term.

Relationship to Other File Submissions

The Other Use of Instructional Rooms (OR) file must be submitted after the Physical Structure Inventory (PS) file and the Area Inventory (AI) file have been edited with zero errors and loaded to the database. Every structure identified in the Other Use of Rooms (OR) file must have a corresponding record in the Physical Structure Inventory (PS) file. Every area identified in the Other Use of Rooms (OR) file must have a corresponding record in the Area Inventory (AI) file.

Definitions and Descriptions of Data Fields

Campus: This campus four-character Regents-assigned abbreviation uniquely identifies the campus (or branch) within an institution.

Structure Identifier: This institution-assigned identifier uniquely identifies the structure in which the area being reported is located. This identifier must correspond to a code entered in the Physical Structure Inventory.

Addition Identifier: This institution-assigned identifier is assigned to areas that are located in building additions. This identifier must correspond to a code entered in the Physical Structure Inventory.

Area Identifier: This institution-assigned identifier uniquely identifies this area. This identifier must correspond to a code entered in the Area Inventory.

Activity: The activity code describes the activity that occurred in this area. No entry should be made for scheduled credit-related course activity.

ED - Economic Development: Any noncredit activity associated with programs or projects that focus on regional economic and workforce development. This would include training geared toward initial entry or reentry into the workplace.

CE - Continuing Education: Any noncredit activity associated with continuing education programs that upgrade professional, technical, or personal skills. This includes institution staff development as well as noncredit classes offered by Continuing Education departments.

CU - Cultural/Personal Enrichment: Any noncredit activity associated with cultural enrichment and recreational programs related to an institution's mission. This might include health and lifestyle programs or other personal enrichment programs.

RA - Research Activity: Any noncredit activity associated with research. This activity might include research occurring in a laboratory that is identified as a teaching lab or research-related conferences and workshops.

AA - Academic Activity: Any noncredit activity associated with campus academic programs. This might include conferences associated with departments. Other examples include: extra review sessions, special class presentations, tutoring services, consolidated midterm and final examinations, student orientation testing, and proficiency testing.

SO - Student Organizations: Any noncredit activity associated with student organizations. This may include student clubs or associations.

OL - Open Laboratory: Activity associated with open laboratories. Often includes rooms to which classes (degree-credit or otherwise) are assigned so that students may complete assignments outside of class time in an "unscheduled" environment.

LP - Laboratory Preparation and Cleanup: Activity associated with preparing a laboratory for a class (degree-credit or otherwise) or cleaning up a laboratory after use.

Daytime Hours: For daytime activity (activity between 7:00 a.m. and 4:45 p.m.), enter the total number of hours during the entire term that the reported activity occurred in this location. Do not report weekend activity.

Nighttime Hours: For nighttime activity (between 4:46 p.m. and 11:15 p.m.), enter the total number of hours during the entire term that the reported activity occurred in this location. Do not report weekend activity.
