Q: When are the term and year fields collected and how are they reported on your campuses?

We found
that across the state 7% of students with a Year and Term of First Enrollment
of Autumn 2000 were not reported in the Autumn 2000 Student Enrollment (SN)
file. Presuming that these students would reenroll at a later year and term,
this practice could cause some problems for accurately calculating time to
degree. For instance, Success Challenge funds are available for baccalaureate
degree earners who complete their degree in a timely manner. The Year and
Term of First Enrollment for these students would not reflect when they first
enrolled, and thereby time to degree would be overstated. Time to degree is
also reported in the The State-Supported Ohio College and University Performance
Report (see http://regents.ohio.gov/perfrpt/student_outcomes.html).
We are responding to this by placing some edits into the Student Enrollment
(SN) file that would warn when a student has been reported in the SE with
a Year and Term of First Enrollment but was not in the SN submission for that
Year and Term. These students should be purged from the SE so that if they
reenroll their Year and Term of First Enrollment will reflect when they persisted
beyond the 15th day of the term.
For students who are already reported in the SN at a later date than their
Year and Term of First Enrollment in the SE, we recommend correcting the Year
and Term of First Enrollment using the Revised First Enrollment (RF) file.
