Q: Our liaison could not find where she could assign this file to me.

A: The initial submission of AP data will be accomplished through a document submission rather than through the traditionalfile submission format.

 Q: Given that the data file which was sent to us is from 1996/97 and that  we have deleted many programs and added man new programs, it seems to me to be easier to submit a complete file in the AP file format.

 A: To facilitate reporting we shared with campuses their responses to a survey of academic programs that Regents conducted back in 1996 and 1997. Our hope was that campuses would be able to use these data to facilitate their own reporting. How you submit these data, either using the data we provided or creating a new dataset based on the AP is up to you.

Q: Should the AP file contain records for programs deleted after 1996/97 as well as any new programs that were added after this time and subsequently deleted?

 A: That's up to your discretion. Our advice would be to include all active programs and any inactive programs in which you have students enrolled.

Q: I am also wondering that if a description is given only for  programs with a major/concentration, how will you know the description of the parent program?

 A: Our purpose is not necessarily to identify parent programs and their subsequent child programs, but rather to identify all programs that exist on a campus. Since the subject code for each program will be identified we can do any clustering of related programs necessary for reporting and information needs.

Q: Concerning the minimum expected time to completion field, would our LPN program, which is 4 quarters and for which students received a diploma, have a completion value of 100 or 125?  Would a seven quarter program be 225?  Is an academic year, with a value of 100, always defined as 3 quarters?

 A: This question is a bit tricky. Time to degree data should be reported consistent with the expectations of the ES and EP files. For our purposes we consider the start of the year to be summer term and the end to be spring term of the following year. Programs started in Autumn term and completing the following Summer would be considered to be 125. Time to degree data should be based on the time required for students attending full-time to meet the requirements for the degree. Time to degree may be extended by things such as required internships, extra coursework and the like, but is not considered extended for things such as part-time attendance.

Q: How should we report majors for which no degree is granted?

 A: Programs for which no degree is awarded should be reported in the AP with a degree level field value of "XX" and time to degree of 000 and credits to degree of 0000.
